End Training Notifications for Separated Employees
Submit a to separate employees, which will end training notifications.
CSU Learn obtains employee data from CHRS through nightly loads. Since CHRS is the system of record for active/inactive employee statuses, an employee's active status must be updated in CHRS before the change will flow into CSU Learn.
- All Employees - Departments are required to submit a via Onbase to separate the employee. For detailed instructions, see the Separation Process web page.
- Student Employees - As with other employees, departments must also separate student employees. We encourage departments not to rely on the annual mass termination process (June for regular student assistants, September for Bridge Student Assistants) as this process is intended only to clean up records for student employees that departments missed separating.

In CSU Learn, assignment audiences control who is assigned training, which courses, tracking completions vs. incompletes, and reporting. It is the key to monitoring the completion of training. Audiences connect three separate components:
- Selected volunteers, ¶¶Òõ¶ÌÊÓƵ students and employees
- Course or courses to be assigned (called "learning activities")
- Reports track the assignment and completion of training; whom will receive the report via email, and the frequency (e.g. weekly, monthly, quarterly, annually)
Prepare
- Learn the Audience Name (and code) for your report. This is likely the name of your report.
- Example: audience name: "YPP Squirrel Team Audience"; and code: CSUS-AUDI-ATH-SQUIRREL-TEAM
- Learn which course/courses are included in the audience.
- Example: New course
- Establish report recipients and frequency in order to automate report generation.
- Example: Frequency is weekly; Email to ___@csus.edu
- Names and ¶¶Òõ¶ÌÊÓƵ Emails to be assigned the training, by adding or deleting them from the audience
- Prepare an excel sheet or document with the following information: First Name, Last Name, ¶¶Òõ¶ÌÊÓƵ Email (required), Add or Delete (in order to assign or un-assign training).
- Attach the list as needed in the request by selecting the "Add Attachments" icon in the request. You may need to save the file to your computer first and then add it.
- Or, if your list is short, simply type it into the service ticket description.
Steps
- Learn to add or delete users from an "audience" that assigns training and emails reports to the program director
- Watchlist: Please add learn-dev@csus.edu to the Watchlist.
- . (For ¶¶Òõ¶ÌÊÓƵ, most CSU Learn requests for changes and system administration are now managed through the Systemwide L&D team.)
